Privacy

Certkept is run by Iris Futures Ltd, the data controller for the personal data described here. Iris Futures Ltd is registered in England and Wales, company number 16763588, registered office 41 Cambridge Road, Hardwick, Cambridge CB23 7QQ.

What we hold

• Your email address and, if you add it, your name.
• The properties you add: address, postcode, tenancy start date and whether it's an HMO.
• Certificate and check dates, notes and any certificates you upload.
• A record of the reminder emails we've sent you.
• If you subscribe, a Stripe customer reference. Stripe holds your card details; we never see them.

Why

To provide the service you signed up for: showing your dates, working out renewals, sending reminders and taking payment. Our lawful basis is performance of our contract with you.

Who processes it for us

• Supabase: database, sign-in and file storage.
• Vercel: hosting.
• Resend: sign-in and reminder emails.
• Stripe: payments and billing.

Some of these providers may process data outside the UK under appropriate safeguards.

How long

Until you delete your account, which you can do at any time from Settings. Deleting removes your properties, dates, notes and uploaded files. Billing records held by Stripe are kept for six years to meet tax law.

Share links

If you create a share link for a property, anyone with the link can see that property's address and check dates. Notes and uploaded files are never shown. You can turn a link off at any time.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, or object to how we use it by emailing hello@certkept.com. You can also complain to the Information Commissioner's Office at ico.org.uk.
